Bring Your Own Office 365 License (BYOL) – Overview & FAQ

🎯 What Is BYOL?

Bring Your Own License (BYOL) is now available for Microsoft 365 users hosted with gotomyerp.

If your users already have qualifying Microsoft 365 plans — such as Business Premium, E3, or E5 — you can now connect those licenses to your hosted environment. This means you no longer need to subscribe to hosted Office licenses from gotomyerp.

🛠 How Does the Upgrade Work?

If you're currently using Business Standard, Microsoft requires an upgrade to Business Premium or higher in order to enable BYOL support in a hosted environment.

To make this transition easier:

  • gotomyerp offers a transition window and special program to help you onboard smoothly.
  • This allows your organization to take advantage of BYOL without increasing your total monthly spend (assuming standard configurations).

We recommend contacting sales@gotomyerp.com to review your current setup and receive a personalized breakdown of potential savings and benefits.

📌 Key Benefits of BYOL

  • Use licenses your organization already owns
  • Maintain secure, managed access to hosted Office applications
  • Eliminate redundant license costs
  • Get full access to Excel, Word, PowerPoint, Access, and more
  • Avoid lock-in to hosted-only licensing structures

🧠 FAQ

Why can't I use all the Office apps?

Per our security policy, the following applications are not supported in hosted environments:

  • Outlook
  • Teams
  • OneDrive
This ensures a secure, compliant environment with simplified management and reduced data leakage risks. All other Office apps (Excel, Word, PowerPoint, Access, OneNote) are supported.

What if my users are on different domains?

It depends on how your Microsoft 365 accounts are set up:

  • ✅ All users have Microsoft 365 accounts: Even on separate domains, they can log in using their own Premium or higher licenses.
  • ❌ Not all users are on Microsoft tenants: (e.g., GSuite or non-Microsoft platforms) — BYOL will not be supported. You’ll need to use hosted Office licensing through gotomyerp for those users.
Can I mix license types across users?

No. For security and compatibility reasons, all users in a hosted environment must use the same licensing model.

  • You cannot mix Business Premium and E3/E5 across users.
  • You cannot mix BYOL users with hosted license users.
  • All users must be licensed under a uniform Microsoft 365 tier.
This ensures compatibility, supportability, and performance consistency across your environment.
Do I need to upgrade all users in my Microsoft tenant?
No! Only the users who access the gotomyerp hosted environment need to meet the licensing requirements for BYOL.
  • If your Microsoft tenant has 20 users, but only 5 are hosted with gotomyerp, then only those 5 users need to be on Business Premium or higher.

How do I find out what license I have?
To find out which license you have:
1- Login to your Office 365 admin portal
2- In the left pane, expand Billing -> Licenses
3- Look for any of the licenses in question. What you want to look for is either a Microsoft 365 Business Premium or any of the subscriptions that are E3 or E5. If you do not find those, then an upgrade of the license for the users will be required.
Note: You only need to upgrade the licenses that will be used in the hosted environment, and not all your Office 365 users
