Using InstaDocs: Managing Document Directories and Files

This guide outlines the standard procedures for managing document folders and files within InstaDocs. Please review the instructions below in conjunction with the usage videos provided.


Scenario 1: Creating a New Company Folder

If a folder for a specific vendor or customer does not yet exist in the Document Directory, InstaDocs can generate it via two methods: Manual Creation or Drag and Drop.

Method A: Manual Creation

Follow these steps to manually establish a directory link between FileBridge and InstaDocs.

  1. Identify the Path: Navigate to the InstaDocs tab within Sage and identify the exact file path the system is looking for.
  2. Create the Folder: Open FileBridge and create a new folder matching the name identified in Step 1.
    Note: Ensure you remove the trailing backslash (\) from the folder name when creating it.
  3. Transfer Files: From your local computer, drag or copy the necessary files into the specific Customer or Vendor folder created in Step 2.
  4. Verify: Return to the InstaDocs tab in Sage and click Refresh. The added file should now be visible.

Method B: Drag and Drop (Hosted Environments)

Because InstaDocs operates in a hosted environment, dragging and dropping files from a local computer requires a two-step process to ensure the server can access the data.

  1. Stage the File: Map your FileBridge drive. Copy the file from your local computer to a general location on the FileBridge drive (e.g., A:\Group).
  2. Import to InstaDocs:
    • Navigate to the InstaDocs tab in Sage.
    • Click OPEN. This will launch File Explorer on the hosted server.
    • Drag the file from the staging location (Step 1) into the open InstaDocs window.
    • Result: This action automatically creates the required folder and copies the file inside.

Scenario 2: Adding Documents to Existing Folders

To add a file to a folder that already exists, you may use the "Drag and Drop" method outlined above, or browse directly via FileBridge.

Direct Browse Method:

  1. Open FileBridge.
  2. Browse to the existing directory path.
    Example Path: :\APPS_Data_RW\InstaDocs\VSB_AP\002X_Parallets CP Software INC
  3. Paste or drag the files directly into this folder.
  4. The files will immediately appear in the InstaDocs tab in Sage.
